Which stuff are you working on first?

Don’t we all know there are many tasks or projects that require us to wait for something else to get done first … or for someone else to get something done before we can continue?

We know that “waiting for” stuff is a critical piece of our personal productivity program because it’s the linchpin of the critical “follow up” that we must always be doing.

So, that part is pretty obvious.

But, have you ever prioritized your tasks to make sure that you’re taking account of the “elapsed time” that something requires?

Here’s the simple hierarchy I try to use. See if it makes sense to you.

1. The 2 Minute Rule

If you can get it done in 2 minutes, do it, get it over with, move on. I think we all know this one.

2. The “Elapsed Time” Effect

It’s hard to beat a home-cooked meal!

Is there something more delectable than sitting down to a home-cooked meal … fresh, hot with flavors wafting through the air?

Some of you may be chefs who prefer to cook it yourself, but I suspect that the vast majority of us savor a meal where our only job is to sit down to enjoy it.

Maybe we’ve exerted a little energy to open the Cabernet to go with it, but not much more.

That’s the same feeling we need to create when we sit down to contemplate our Action Dashboard to begin the day.

Ready to Savor (it’s all actionable). Fresh (it’s all up-to-date). Hot (it’s ready to eat as soon as you sit down).

The Weekly Review is where all chopping, cutting, food prep gets done

Why do I need the 2 Minute Rule?

Most of us follow an informal rule about doing something now if it takes just a few minutes. Most GTD aficionados are familiar with a more specific 2 Minute Rule. The short version? If you can get it done in 2 minutes, don’t add it to your task list. Do it now and be done with it.

That’s about as direct and in-your-face as GTD gets. For me, though, the real power of this rule is to make sure you do the opposite of the rule.

So, what’s the opposite of the 2 Minute Rule? Don’t do it if it takes more than 2 Minutes? Wouldn’t that be nice … but unfortunately, far more things take 2 minutes than not.

Are you having any trouble making your routines … routine?

If you’re like me, you realize that there are a lot of “little things” that we need to do every day that often escape us in the maelstrom that surrounds our normal routine. It’s usually those things we’ve promised someone we would do that day FOR SURE … a small thing, easily done … but then, in the firestorm at the office, we completely forget about until we hit home and are gently reminded about our oversight … again.

What is a Routines List?

This may sound absurd … maybe it is a sign of the times … but I’ve recently created a “Routines List”, an innovation that serves as a handy checklist of routines that I may or may not need on any given day but I want a quick reminder of what they are. As you know, I’ve written before about the power of such checklists. (You can also check out David Allen of Getting Things Done (GTD) fame, who has also written extensively on the value of checklists.)

Personal Productivity | Multitasking | The nightmare of a cluttered mind

It’s not the clutter of the desktop or inbox … but the clutter of the mind that scuttles our personal productivity plans and leads us into unproductive habits and wasted time.

Yes, I know, our inbox is spawning new life forms, ending the paper flood has been about as successful as ending world hunger and our mobility means that we have to juggle all of this like we’re riding a unicycle.

Sometimes we’re infected with the attention span of a mosquito.
We’re moving fast … but we aren’t getting anywhere.

A lot of it starts with The Great Multitasking Hoax: It’s killing us.

Most of our conversations about personal productivity seem to revolve around related fields like organization or time management … but it’s probably more about mind management.

What’s the sign of a Cluttered Mind?

The consequence of a cluttered mind is our inability to focus on one thing at at time, fueled by our obsession with multi-tasking.

In many ways, technology has driven us to overestimate our multi-tasking abilities … and science has repeatedly confirmed that we are misguided about this.

Consider the debate in Is Technology making us Smarter or Stupider, or the results of one man’s decision to stop multi-tasking for a week.

Late last year, the New York Times summarized the most recent data on failed multitasking.

Don’t overlook the Atlantic’s detailed analysis, either, in Is Google Making us Stupid, which looks more closely at what the Internet is doing to our brains as we become increasingly focused on short mind-bites of information.

Try going somewhere else to regain your focus

One thing really works for me … and the more I talk to others, the more this seems to work for them, too.

It’s stupidly simple and it doesn’t seem like it should work at all. In fact, I’m not exactly sure why it works … but it seems like it’s connected to our ability to focus.

During the holidays, I sat down with a client over a chilled martini … 3 olives, thank you. She was lamenting the limited progress she had achieved during 2010 on the seemingly endless list of projects she tried to tackle. Most of them were overdue or barely out of the gates. Her desk was littered with good intentions turned to stalled initiatives with little hope of an early resolution.

She had achieved only limited progress on her number one goal for the year. Yet, as we discussed several of the specific projects, she knew exactly what needed to be done … her reasoning was sound … but it was the unyielding demands of all of them, each of which she thought was as important as the previous one, that was keeping her from the success she was seeking.

Let’s figure out how to get all of this done

Can you put a lifetime on a 3×5 card?

Do you think you could distill a lifetime of experiences into a handful of sentences … so that when your grown children read them, they would hold them as dearly as they once held their teddy bears?

I’ve recently published several lists of “life lessons”, for lack of a better term, that keep coming my way from a variety of sources. These lists, scratched on the back of an envelope found in a plane crash, or tucked in a wallet for 50 years, are treasures because they’re personal … and each person believed he or she had captured the unique nature of their humanity.

So, now come the Guideposts of business philosophy taken from the book, Marriott The J. Willard Marriott Story by Robert O’Brien. It’s longer than most … not a note card but still a single sheet of paper … maybe Willard did more than most? Some may seem old-fashioned, others a little harsh for the more indulgent company cultures of the 21st century … but most of them are rooted in sound business practices. Work your way past some of the pedestrian entries to uncover a few nuggets and valid reminders that you can add to your own list.

  1. Keep physically fit, mentally and spiritually strong.
  2. Guard your habits – bad ones will destroy you.
  3. Pray about every problem.
  4. Study and follow professional management principles. Apply them logically and practically to your organization. (more…)

Leadership = Balance & Harmony

Urban Meyer is returning as the football coach at the University of Florida, much to the delight of Florida fans everywhere. He has a remarkable track record wherever he’s been and with him, Florida won two national championships in 2006 and 2008. His winning record of .842 is the highest among active coaches with at least 5 years experience (at a Football Bowl subdivision).

So what, you say? Well, Urban Meyer is the poster child for the out of balance work life that earned him an ambulance trip to the hospital last December.
